So what is the default dairy? The idea with the default diary, is we take our quarterly goals and break them into regular recurring blocks of time covering different aspects of your business. It avoids piling up tasks and reduces stress, and most importantly, it allows you to focus ON your business and the essential tasks needed to drive your business forward. 

 

This is especially helpful if don't yet have a fully functional team in place that assists with the everyday running of the business, we wear multiple hats, which often prevents us from working ON our business. We get so caught up in the day-to-day running that we never dedicate time to moving our business forward and focusing on our goals. 

 

Suppose you are currently at a stage within your business where you don't have a consistent cash flow, your sales are inconsistent, and you feel like you are running around like a headless chicken, and all you are doing is constantly putting out fires. One of the main reasons for this is that you are not constructing your time efficiently. 

 

There are multiple reasons why you are experiencing these issues, such as a lack of a recruitment system, and no processes and systems within your business. But today's blog is not about these issues, today I am going to teach you a helpful tool to manage your time effectively with the default diary.   

 

The Purpose Of The Default Diary: 

  • The idea and purpose of the default diary are to take your quarterly goals and dedicate time each day and week to attain these goals.
  • You should be dedicating time to working on your business, not in your business. 
  • Leave time for unforeseen tasks that pop up in the day and manage these tasks in those allocated times only. 
  • The idea is to focus on one task and forget about others. 
  • Nobody became super productive by taking on ten tasks at once. 
  • When you allot a specific time for each task, it is easier to channel all your energy and focus on that one thing. 
  • Finish it and then move on to the next one.

 

As I mentioned earlier, the default diary will represent your quarterly goals. I recommend starting the default diary by breaking your quarterly goals into weekly goals and creating the diary week by week. Then, once you get into the habit of following the weekly diary, begin creating a quarterly diary. 

 

I recommend starting with a weekly diary because following this system is very difficult at first; you need to gradually develop it into a habit before moving on to the quarterly diary. 

 

The idea of the default diary is to ensure you are driving your business forward every day and not getting distracted by unimportant tasks. 

 

Therefore, it is crucial to dedicate at least 30 minutes to each day's start or end to plan for that day or the next to know what tasks you are working on in those dedicated time frames. 

 

Implementing the time to plan your day keeps you focused and allows you to start working straight away. Not all tasks are urgent, and not all are important. 

 

Therefore, you need to identify which tasks are essential for your business growth. For example, creating a business plan is never urgent, but it is crucial. Segregate the tasks to fulfill the urgent ones and save time for the important tasks. 

 

How To Structure Your Default Diary?

  • All your quarterly, daily, and weekly goals go into your default diary so that you are dedicating specific time to them. 
  • Otherwise, you are constantly fixing issues and never working on your business. 
  • Your team needs to be fully aware when you are working on essential tasks so that they don't disturb you. 
  • Your team needs to be aware when you have dedicated time toward problem-solving with your team, so they address all issues or questions with you in these times. 
  • It is also recommended to put an "out of office" on your email indicating the times you are available during the day. 
  • Use a color code for each business section to organize your diary. 
  • The tasks with the highest priority should be attended to first. 
  • Then, if any business tasks need your attention, attend to the tasks outside of your priority time slot by keeping free spaces for tasks that come up unknowingly. 
  • You can revisit them in those slots instead of panicking about what to do. 

 

Summing Things Up: 

  • The idea in basic terms is to be working on the same critical system tasks such as recruitment and marketing the same days of the week. 
  • And in those system time frames, you have broken up tasks that need to be worked on every day and week that are driving you toward and achieving your quarterly goals. 
  • Let's use hiring as an example, say you need to hire a new team member and it is your goal to do so in this quarter, book that on a Monday and Wednesday for example from 10 am - 12 pm. 
  • Inside that time frame, you will be conducting interviews, going through applications, etc. I think you get the idea. 
  • So create the quarterly goals that you need to drive your business forward. 
  • Categorize them into systems as I mentioned earlier and then put those systems slots in your calendar. 
  • At the end of every day or the start of a new day see what is important tasks you need to work on that day in those areas. 
  • Eventually, plan your tasks for the entire week and break them up into days and go over your days' tasks in the morning before starting work. 
  • Ensure that everything you are working on is driving your business forward to achieving your quarterly goals.
